Position overview
We are looking for a Junior Assistant with strong organizational and communication skills to join us at allnex! In this role, you will support Executive Assistants across Europe with administrative, event coordination, and procurement activities, ensuring smooth daily operations and efficient coordination across teams. You will also contribute to global meetings, trainings, and contract-related processes while helping maintain an organized and professional working environment.
Responsibilities
- Provide administrative support to Executive Assistants and act as a backup when needed.
- Support the planning and coordination of meetings, global trainings, workshops, and company events.
- Organize logistics such as venue booking, catering, transportation, and participant communication.
- Assist with vendor coordination, contract handling, and event-related budget tracking.
- Coordinate registration processes, prepare materials, and support global training programs.
- Support procurement activities: vendor creation, purchase requisitions, and purchase order management.
- Track and update purchase orders, invoices, and ensure accurate documentation.
- Maintain distribution lists and manage access rights in SharePoint.
- Support Legal and contract management processes, including document handling and e-signature coordination.
- Maintain and update contract data in internal systems and support reporting.
- Manage and follow up on internal requests and tickets.
- Perform general administrative tasks and support cross-functional coordination as needed.
Required skills and experience
- Strong organizational and prioritization skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and meet deadlines.
- High attention to detail and problem-solving mindset.
- Proactive and team-oriented approach.
- Computer skills (MS Office: Word, Excel, PowerPoint, Outlook; general system literacy; SAP or similar tools is a plus).
Qualifications
- Bachelor’s degree (completed or in progress) or equivalent.
- No prior experience required.
