Position overview
We are looking for an Assistant with strong organization and communication skills to join us at allnex! This role involves assisting in planning and organizing company events, managing procurement processes for the Frankfurt and Drogenbos offices, and providing general administrative support. Key tasks include coordinating event logistics, handling vendor records and purchase requisitions, and supporting Executive Assistants as needed.
Responsibilities
Event Planning and Management:
- Assist in planning and organizing company events, meetings, and conferences;
- Research, compare, propose, negotiate, review contracts for company events;
- Coordinate logistics, including venue booking, catering, transportation etc.;
- Oversee training management for global talent trainings.
Support Procurement Processes for Frankfurt and Drogenbos Offices:
- Request new vendor creation, maintain and update vendor records;
- Create and manage purchase requisitions;
- Ensure timely and accurate processing of procurement documents;
- Oversee the approval process of invoices.
General Administrative Support:
- Provide administrative support to Executive Assistants as needed;
- Perform other related duties as assigned.
Required skills and experience
- Bachelors degree (can be a student with ability to work full time);
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) desirable;
- Good English language skills;
- Excellent communication and interpersonal skills;
- Excellent organizational and time-management skills;
- Ability to handle multiple tasks and prioritize effectively;
- Detail minded with good problem solving;
- Inquisitive and curious mindset with an eye for improvement opportunities.

- Monthly gross salary 1150-1400 EUR, depending on skills and experience;
